About the Role

The Document Management Specialist reports to the Project Controls Manager and is responsible for cataloging and recording all project‑related documentation, covering production, engineering, controls, and operations. The role ensures organized records for internal stakeholders such as project managers, engineers, superintendents, and external parties like regulatory agencies. Key duties include administering document access rights and revision control, developing system features and workflows, conducting needs assessments, and implementing scanning and automated data‑entry processes. The specialist also prepares official document changes, monitors regulatory compliance, documents technical specifications, and validates project processes to meet contractual obligations, while providing accurate reporting to clients. • Administer document and system access rights and revision control • Develop and configure document management system features, including user interfaces and workflow procedures • Conduct needs assessments to identify department and end‑user document requirements • Implement scanning and automated data‑entry processes using imaging devices and software • Prepare and record official document changes, coordinating with legal and compliance staff • Monitor regulatory activity to ensure compliance with records and document‑management laws • Document technical specifications for new or proposed content‑management systems • Ensure accurate and timely reporting of document deliverables to clients

What You Bring

Ideal candidates have at least two years of document‑management experience on major contracts, are computer literate with Windows, Microsoft Office, SharePoint, and Adobe, and have a proven record of working in cross‑functional teams to ensure project compliance and reporting. A proactive, self‑motivated attitude, a Bachelor’s degree (preferred), and local area experience are also valued. • Minimum 2 years experience in document management for major contract delivery • Proficient with Windows, Microsoft Office (Word, Access, Excel, PowerPoint), SharePoint, and Adobe • Demonstrated ability to work cross‑functionally and provide accurate data for project compliance
