About the Role

The role provides direct administrative support to property management, maintaining regular contact with maintenance staff to ensure cleanliness and timely attention to needs. It includes updating employee, client and contract databases, organizing and preparing reports for distribution, and enforcing compliance with JLL policies and insurance requirements for tenants. Financial duties involve processing accounts payable and receivable, obtaining completed W‑9s from vendors, and assisting with budget preparation and tracking of administrative line items. The associate prepares manual adjustment forms for tenant service requests, handles monthly MES bill‑back to clients, and invoices tenants for damages they are directly responsible for. In client services, the associate maintains day‑to‑day relationships with tenants, prepares memos and communications, and manages SharePoint document loading. They follow up on tenant requests to ensure satisfaction, coordinate vendor access, collect certificates of insurance, and ensure tenant contact information is accurate in all building systems. Operational responsibilities include reviewing tenant service requests daily, scheduling material moves, drafting contracts within 24–48 hours, and collecting HVAC preventive‑maintenance service contracts from tenants on an annual basis. The associate also supports construction projects and contractor relations. • Provide administrative support to property management, including report preparation and database maintenance. • Coordinate tenant communications, manage SharePoint documents, and ensure timely resolution of service requests. • Process accounts payable/receivable, obtain vendor W‑9s, and assist with budget preparation and tracking. • Manage insurance compliance, collect certificates of insurance, and handle invoicing for tenant damages. • Oversee vendor access, schedule maintenance, and support construction contracts and HVAC service agreements. • Maintain accurate tenant contact information in building systems and conduct monthly meter readings.

What You Bring

The ideal candidate holds an associate’s or bachelor’s degree (or equivalent experience) and has at least two years of commercial real‑estate or property team experience. Proficiency with Microsoft Word, Excel and PowerPoint, adaptability to new software, strong organizational and project‑management skills, and a team‑oriented mindset are required. • Require associate or bachelor’s degree (or equivalent) and 2+ years commercial real‑estate/property experience. • Proficient in Microsoft Office, adaptable to new software, with strong organizational and project‑management skills. • Full‑time onsite position in Minneapolis, MN; no visa sponsorship provided.
