About the Role

The Brokerage Specialist reports to the Sr. Operations Manager and supports a fee‑earner or team by handling client service activities such as marketing campaigns, transaction support, press releases, and administrative tasks. This role serves as a direct line of communication to the fee‑earner and collaborates with various internal departments to meet client needs. Key functions include managing the pipeline of active transactions, overseeing post‑closing processes, and coordinating due‑diligence and marketing efforts for investment sales and leasing projects. The specialist prepares regular client reports, conducts cold‑calling and prospecting, and reviews lease and sale documents. The position also creates and updates marketing materials and website content using Adobe InDesign, maintains corporate and property web pages, and plans client events and conferences. Additional responsibilities involve escrow coordination, scheduling tours and meetings, managing CRM data, and handling deal documentation and revenue accounting. • Provide sales, marketing, and transaction support for fee‑earners. • Manage the pipeline of active transactions and ensure timely closures. • Coordinate post‑closing processes and due‑diligence for investment sales and leasing. • Prepare weekly and monthly client reports on deal status and marketing activity. • Conduct cold‑calling, prospecting, and analysis of lease/sale documents. • Create and update marketing materials (flyers, proposals, case studies, email blasts) using Adobe InDesign. • Maintain corporate and property websites and third‑party web pages. • Plan and support client events, conferences, and charitable functions. • Oversee escrow processes, coordinating photographers, engineers, title representatives, and other vendors. • Schedule property tours, meetings, and logistics for prospective buyers and fee‑earners. • Manage CRM data entry, lead tracking, and conflict‑of‑interest research. • Compile deal documentation, case studies, press releases, and submit to revenue accounting. • Coordinate travel arrangements, event registration, and accommodations for fee‑earners. • Respond to data requests from Marketing, Research, and Finance teams. • Perform general administrative duties as needed.

Benefits

Compensation ranges from $59,500 to $70,000 and includes a comprehensive benefits package covering health, vision, dental, flexible spending and health savings accounts, retirement plans, life and disability insurance, and paid and unpaid time off.
