About the Role
The Document Control Specialist will administer a comprehensive document control system supporting program‑wide engineering and operational activities, with a focus on electronic management via platforms such as Aconex. Responsibilities include maintaining technical documentation, ensuring proper use of the Electronic Document Management System, preparing logs and registers, issuing transmittals, monitoring correspondence, coordinating updates with head office and vendors, and supporting final as‑built submission and reporting. • Administer a comprehensive document control system, focusing on electronic management via Aconex. • Maintain and control technical documentation (specifications, IFC, shop drawings, vendor docs, calculations) in electronic and physical formats. • Ensure proper use of the Electronic Document Management System for receiving, tracking, and distributing project documents. • Prepare and maintain logs and registers (Critical/Non-Critical Docs, GFC Drawings, RFIs, NCRs, CARs) for monthly progress reports. • Issue documents using approved transmittal formats to clients, consultants, site teams, and stakeholders. • Monitor incoming and outgoing correspondence, routing, response tracking, and archiving. • Coordinate with Head Office and vendors to obtain updated document versions and distribute latest revisions. • Support compilation and submission of final as‑built documentation in accordance with closeout procedures. • Assist in preparing daily, weekly, and monthly reports by maintaining site document activity records. • Maintain the Master Document Register for each project to ensure readiness for progress reporting and milestone payments. • Track license registration and renewal requirements per project regulations.

What You Bring
Candidates should have at least six years of relevant experience, preferably in construction supervision or engineering design consultancy, and proven expertise with Aconex on large‑scale projects. A 3‑year diploma with equivalency certificate or MOFA attestation is required, while a degree and document‑control certifications are advantageous. • Minimum 6 years experience in a similar role, preferably within construction supervision or engineering design consultancy. • Proven experience with Aconex on large‑scale infrastructure, building, or industrial projects. • 3‑year diploma with equivalency certificate or MOFA attestation required; degree and document‑control certifications are advantageous.
