About the Role

In this role you will provide vital administration and helpdesk support for the FM contract, handling tasks such as creating quotations, ordering materials, and scheduling engineer workloads. You will also manage client communications, respond promptly to requests, coordinate with subcontractors, suppliers, and internal teams, and ensure engineers’ diaries meet Service Level Agreements while planning efficient routes. Additional duties include supporting PPMs, repairs, remedial works, managing the MCM system, job closures, document submissions, operative diary management, and general office administration. • Create quotations, order materials, and schedule engineer workloads • Manage client communications and respond promptly to requests • Coordinate with subcontractors, suppliers, and internal teams for seamless service • Schedule engineers' diaries to meet SLAs and plan efficient routes • Support PPMs, repairs, and remedial works • Administer MCM system, job closures, document submissions, and operative diary • Provide accurate office administration and documentation • Deliver high‑quality customer service and helpdesk support • Participate in annual Mears Fun Day and access volunteering leave • Utilise family‑friendly policies

The Facilities Support Administrator position offers a salary of up to £30,000 per annum and is based in Maidstone on a full‑time, permanent schedule of 40 hours per week, Monday to Friday. Our Kent Facilities Management branch supports two major NHS Trusts and is responsible for delivering safe, compliant, and fully operational facilities across multiple buildings, covering core repair and maintenance functions such as gas, electrical, lifts, water, plumbing, and general building works.
