About the Role
The Project Administrator will use software to assist project managers in managing project budgets, track proposals and opportunity pipelines within CRM software, manage purchase orders, invoice clients, run financial reports, handle revenue recognition, and coordinate sub‑invoice payments. They will ensure work complies with FDOT specifications, coordinate with other departments and disciplines, prepare and review contracts and agreements, troubleshoot billing inquiries, conduct invoice and QA/QC reviews, and prepare and submit application paperwork to relevant agencies. • Assist project managers with budget setup, tracking, and accuracy. • Monitor and review project budgets, manage billings, and verify entries. • Track proposals, purchase orders, and sub‑invoice payments using CRM software. • Ensure compliance with FDOT specifications and coordinate across departments. • Prepare, review, and follow up on contracts, professional services, and sub‑consultant agreements. • Resolve billing inquiries and conduct invoice and QA/QC reviews. • Prepare and submit application packages to agencies and committees.

What You Bring
Colliers Engineering & Design is seeking a Project Administrator to join our Construction Engineering & Inspection team in Miami, FL! Support the CEI team by performing key tasks related to project budget setup, tracking, and accuracy. This role includes setting up new projects, managing project manager billings, monitoring and reviewing project budgets, assisting with collections, and verifying budget entries for accuracy. Success in this role requires strong mathematical and analytical skills, exceptional organizational abilities, attention to detail, and effective communication. The ideal candidate holds an associate or bachelor’s degree in engineering technology or a related field, has at least five years of transportation construction experience, and prior experience with FDOT. Additional preferred experience includes AEC work, proficiency with BST and CRM software, strong Excel skills, a valid US driver’s license, and the ability to work with multiple project managers under deadlines. The candidate must be self‑motivated, detail‑oriented, dependable, able to prioritize tasks, work overtime as needed, and possess effective communication skills. • Maintain at least 5 years of transportation construction experience, including FDOT projects. • Hold an associate or bachelor’s degree in engineering technology or related field. • Possess strong Excel, BST, and CRM software skills; valid US driver’s license. • Demonstrate strong organizational, time‑management, and communication abilities. • Ability to work overtime and prioritize tasks under deadlines.
