About the Role
This role provides administrative support to the Corporate Department and reports directly to the Vice President of the Department. • Maintain and update electronic and hard‑copy files and binders, including budget and critical issues. • Maintain and update the central File Room and electronic master file for all facilities and department files. • Manage and update all off‑site files, including closed facilities, workers compensation, and hazardous waste disposal sites. • Assist in gathering due‑diligence reports and records for acquisitions and divestitures. • Approve and pay routine department bills and track costs for environmental and safety projects. • Maintain and update the environmental library with publications, regulatory developments, documents, and historical critical issues. • Prepare, route, and maintain environmental or safety policy updates, hiring translation services as needed. • Maintain the Safety Training Library by sending, receiving, and tracking safety training materials for facilities worldwide. • Schedule meetings, conference calls, and WebEx sessions; arrange hotels, catering, and travel as needed. • Assist the VP in preparing presentations, reports, travel arrangements, and other duties. • Prepare safety milestone, annual safety, and annual environmental awards, including artwork creation, product ordering, and shipping. • Manage the office by maintaining service contracts, ordering supplies, and maintaining department schedules.

What You Bring
Qualifications: An AS degree in Business is preferred along with 2‑3 years of relevant experience. Strong communication skills, expert proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), and excellent organizational abilities are required. The candidate must be flexible, able to multi‑task, and quickly adjust priorities based on departmental needs.
