About the Role

Executive Assistants manage executive access, maintain and modify schedules, and alert leaders to urgent issues. The role provides highly skilled, confidential administrative support to ensure smooth office operations and strong interpersonal relationships across all employee levels. Key duties include updating and organizing meetings, coordinating events (venue, catering, materials, on-site support), arranging complex travel, processing expense reports, maintaining department calendars, and preparing reports, spreadsheets, and presentations. You will also use Windows, Word, Excel, PowerPoint, SharePoint and other software, develop vendor contacts, and contribute to special projects as needed. The position involves logistics for leadership gatherings, such as yearly off-site meetings for 100+ attendees, and handling purchase order requests through the KC Marketplace system. You will professionally respond to executive communications, schedule candidate interviews, facilitate employee onboarding, and manage contingent workers in Workday. • Update, organize, and coordinate meetings. • Plan and support events, including venue selection, catering, and material preparation. • Arrange complex travel itineraries, bookings, and related documentation. • Process and submit expense reports promptly. • Maintain department calendars and executive schedules. • Prepare, review, and format reports, spreadsheets, and presentations. • Utilize Outlook, Windows, Word, Excel, PowerPoint, and SharePoint effectively. • Develop and maintain vendor and service contacts. • Coordinate logistics for leadership meetings, including large off-site events. • Manage purchase order requests using the KC Marketplace system. • Respond professionally to executive communications. • Schedule candidate interviews and facilitate new-employee onboarding. • Oversee contingent worker management in Workday. • Provide general support as a point of contact for team inquiries.
