About the Role
• Manage executive diaries, prioritize and coordinate internal and external meetings. • Arrange travel logistics and process executive expense reports. • Prepare and distribute management meeting packs, reports, and follow up on actions. • Act as Board Secretary for BCL, handling board papers, minutes and compliance. • Maintain the organisation chart and weekly whereabouts tracker. • Handle office calls and organise quarterly and monthly all‑hands meetings, including slides, venues and refreshments for Bristol and London. • Coordinate office refurbishment, relocation and ongoing maintenance projects for both locations. • Order and manage stationery, coffee/tea supplies, PPE inventory and office consumables. • Receive and distribute post and parcels; set up access cards and ID cards for new starters. • Process invoices, purchase orders, requisitions and vendor setups; book couriers for urgent documents. • Arrange taxis for ministerial site visits and liaise with IT for new equipment provisioning. • Manage contract signing and NDAs via DocuSign and support HR onboarding, Right‑to‑Work checks and training. • Organise staff events such as Christmas parties, summer parties, baby gifts and sympathy flowers. • Serve as First Aider and Fire Warden, arrange related training, PAT testing and fire extinguisher servicing. • Ensure compliance with UK health and safety standards and attend H&S committee meetings.

What You Bring
The Bristol office is seeking an Executive Assistant who will work hybrid (minimum three days a week on‑site) and report to the UK General Manager. The role involves proactive, detail‑oriented support for executives, including diary management, meeting coordination, travel arrangements and board‑secretary responsibilities, with occasional travel to London. Candidates should have roughly four years of experience in an office‑manager or executive‑assistant capacity, be comfortable travelling between Bristol and London, and be proficient with Microsoft 365, Teams and Concur. Experience in the public sector and familiarity with AI tools are advantageous.
