About the Role

The Property Service Coordinator oversees the delivery of building‑operation services and provides administrative support to the Operations team. Responsibilities include work‑order management, health, safety and environmental compliance, contract administration, invoice processing and vendor coordination. The role serves as the primary contact for service providers and ensures timely resolution of client requests. Daily duties involve processing service requests, issuing purchase and work orders, preparing tenders, and maintaining accurate documentation for reporting and audit purposes. The coordinator collaborates with contractors and building technicians, monitors preventive‑maintenance work, manages cleaning contracts, and conducts inspections to uphold facility standards. In addition, the role enforces health‑and‑safety policies, tracks incidents, and ensures compliance with BGIS, client and legislative requirements. The role does not lead projects but involves regular communication, problem‑solving and use of several software applications to address service‑related challenges. BG IS is an equal‑opportunity employer and will provide reasonable accommodation to candidates who need it during the recruitment process. • Process service requests received via phone, email, or in‑person and log them for reporting. • Issue purchase orders and work orders aligned with contractual and on‑demand services. • Prepare and publish tender documents and ensure timely scheduling of work orders. • Complete departmental forms such as RFQs, building advisories, AHJ entries, and fuel call‑ups. • Develop scopes of work and solicit quotes from service providers when needed. • Upload relevant documentation to work orders for audit and reporting compliance. • Coordinate with contractors and building technicians to follow proper procurement procedures. • Review and dispatch monthly preventive‑maintenance work orders, ensuring completion before month‑end. • Administer service contracts, monitor vendor performance, and conduct cleaning inspections. • Prepare monthly expense summaries, reconcile discrepancies, and support general‑ledger accuracy. • Ensure health‑and‑safety policies are followed, obtain required work permits, and track incident reports. • Promote a positive safety culture by attending meetings, completing training, and managing H&S documentation. • Verify client security requirements and confirm service‑provider compliance before site entry. • Manage purchase orders with managers and suppliers, approving payments for correctly priced work. • Review work orders to classify billable versus non‑billable items and investigate invoice issues.

What You Bring

The position requires a high‑school diploma and up to one year of office‑administration or service‑coordination experience, strong interpersonal and customer‑oriented skills, and solid verbal and written communication abilities. Proficiency with Microsoft Office is expected, while familiarity with Oracle Cloud, tendering processes and financial‑management software is considered an asset.
