About the Role
The Administrative Assistant – Vehicle Fleet Management supports the Fleet Manager and the broader fleet operations team. The role handles documentation, data entry, scheduling, and communication related to company vehicles, ensuring safe, compliant, and cost-effective fleet operations. • Maintain and update fleet asset records (inventory, VINs, licenses, mileage) in the management system. • Track and schedule routine and corrective vehicle maintenance, inspections, and repairs with staff and vendors. • Ensure compliance with registrations, inspections, emissions, insurance, and safety documentation. • Assist with driver onboarding and off‑boarding for vehicle assignments, keys, fuel cards, and telematics devices. • Process and reconcile fleet invoices, purchase orders, and expense reports in coordination with Procurement and Finance. • Administer fuel cards, including issuance, cancellations, PIN management, and usage audits. • Compile data for fleet reporting on utilization, downtime, cost, fuel consumption, and safety metrics. • Respond to inquiries from drivers, supervisors, and vendors regarding vehicles and related processes. • Maintain organized digital and physical filing systems for titles, registrations, insurance certificates, and maintenance records. • Support accident/incident reporting and documentation, coordinating with Risk/Insurance as needed. • Aid implementation and administration of telematics or GPS systems, performing data checks and basic troubleshooting. • Prepare correspondence, forms, basic presentations, and reports for the Fleet Manager or leadership. • Perform general administrative duties such as meeting scheduling, calendar support, note‑taking, and distribution of fleet communications.

What You Bring
• High school diploma or equivalent and at least 2 years of administrative experience in an office, operations, logistics, or related setting. • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and experience managing data in spreadsheets or databases. • Strong attention to detail, accuracy in data entry, and effective written and verbal communication skills. • Ability to organize, prioritize multiple tasks, and work with limited supervision. • Experience supporting vehicle fleets, transportation, logistics, construction, or field operations (preferred). • Familiarity with fleet management, maintenance tracking, or telematics systems (preferred). • Basic knowledge of vehicle documentation (titles, registrations, inspections, insurance) and vendor coordination (preferred). • Demonstrated reliability, professionalism, and customer‑service orientation. • Collaborative mindset for working with field staff, drivers, managers, and support departments. • Problem‑solving attitude with willingness to learn fleet processes and systems. • Ability to handle confidential and sensitive information appropriately. • Valid driver’s license and ability to meet Parsons’ employment and background verification requirements (no security clearance needed).
