About the Role
The Brokerage Coordinator reports to the Operations Manager and serves as a strategic and operational partner to fee‑earners or brokerage teams, handling client service, transaction support, marketing coordination and administrative functions in a fast‑paced environment. The role requires managing pitches, proposals, presentations, transaction documentation, maintaining CRM systems, drafting lease/sale documents, and coordinating with internal teams to ensure timely deal processing. The Coordinator collaborates with Marketing, COEs, and Creative teams to produce client deliverables, creates and edits flyers, brochures, presentations, email campaigns, and manipulates aerials, maps, and floorplans for visual storytelling, while managing production timelines and logistics. Administrative duties include calendar management, expense reporting, travel coordination, client event preparation, maintaining databases, ensuring documentation accuracy and compliance, and supporting general office functions. The position acts as a communication link between fee‑earners and internal departments, participates in strategy sessions, exercises independent judgment, and fosters a collaborative, service‑oriented environment. • Prepare and manage pitches, proposals, presentations, and transaction documentation. • Maintain CRM systems (e.g., Salesforce) with leads, opportunities, and deal records. • Draft and review lease/sale documents and listing agreements. • Collaborate with Marketing, COEs, and Creative teams to produce client deliverables, including flyers, brochures, presentations, and email campaigns. • Edit and animate aerials, maps, and floorplans for visual storytelling. • Manage production timelines, printing, and distribution logistics. • Provide day‑to‑day administrative support: calendar management, expense reporting, travel coordination, and client event preparation. • Maintain internal databases and ensure documentation accuracy and compliance. • Serve as liaison between fee‑earners and internal departments, attending strategy sessions and contributing ideas. • Apply independent judgment and proactive problem‑solving to foster a collaborative environment.

What You Bring
Qualifications include 2+ years of professional/administrative experience, strong written and verbal communication, proactive problem‑solving, high organization, adaptability, curiosity, a big‑picture mindset, and proficiency in Microsoft Office, Adobe Suite, Salesforce, and Workday; a bachelor’s degree is preferred. • Required: 2+ years professional/administrative experience, strong communication, proactive, highly organized, adaptable, curious, big‑picture thinker. • Preferred: Bachelor’s degree; proficiency in Microsoft Office, Adobe Suite, Salesforce, Workday.
