About the Role
• Input information accurately from various sources into databases or applications to support time and expense entry, work management, invoicing, AP, and expense reconciliations. • Provide general administrative and clerical support, including mailing, scanning, copying, and serving as receptionist for the facility. • Run reports from multiple tools or systems and verify data inputs/outputs for completeness and correctness. • Arrange employee engagement activities in the office. • Prepare and modify documents such as correspondence, reports, drafts, memos, and emails as directed. • Meet established deadlines and deliver requested information promptly. • Schedule and coordinate meetings and appointments; maintain the master calendar and manage employee calendars and availability. • Support company and client events by organizing catering, facilities, restaurants, or other vendors as needed. • Maintain various administrative reports and databases, including fleet, phone lists, storm rosters, occupancy, and PPE assignment. • Monitor and order office supplies cost‑effectively as required. • Assist with the new employee onboarding process. • Assist with fleet vehicle maintenance by coordinating appointments, tracking mileage, and outfitting vehicles with up‑to‑date equipment.

What You Bring
Regular attendance is mandatory. Candidates must have at least a high school diploma or GED; an associate degree is preferred. One year or less of experience in a similar support role is desired, with familiarity in utility or engineering office settings considered a plus. The position requires basic reading, writing, and mathematical skills, including the ability to interpret documents, compute percentages, and work with spreadsheets. Strong computer proficiency, knowledge of standard office equipment, and the ability to follow through on assignments independently are essential. Additional abilities include a high energy level, professional appearance, and the capacity to work in a fast‑paced, ambiguous environment. Applicants must be able to interact effectively with individuals from diverse socio‑economic, cultural, and ethnic backgrounds and demonstrate a team‑oriented attitude. Physical demands include frequent sitting, regular use of hands for handling tools, occasional standing, walking, and light lifting up to 25 pounds. The role also requires close and color vision.
