About the Role
The Repair Coordinator II role independently oversees the full lifecycle of industrial pump repairs and the pump exchange program, acting as the primary liaison between customers and internal service teams. This position manages scheduling, quotations, workflow tracking, communication, and accurate billing to ensure timely and reliable service delivery. The work environment combines office and shop settings, requiring frequent cross‑departmental communication and occasional exposure to industrial noise and temperature variations. The role follows all safety protocols and utilizes personal protective equipment as needed. • Serve as the primary contact for repair and exchange orders from receipt through completion. • Log incoming equipment, verify scope, and create work orders in the ERP system. • Coordinate inspections and generate detailed repair quotations based on technician findings. • Communicate estimates, recommendations, and lead times; obtain purchase orders and authorizations. • Schedule repair activities and monitor job progress to meet customer commitments. • Collaborate with technicians, engineering, and procurement to ensure accurate, timely repairs. • Maintain comprehensive job documentation, including inspection reports, material usage, and labor hours. • Provide proactive updates on job status, scope changes, and delivery expectations. • Review completed jobs for accuracy before invoicing. • Prepare and issue final invoices in line with company and customer requirements. • Support initiatives to improve communication, workflow efficiency, and customer satisfaction.

What You Bring
• Require high school diploma (associate or bachelor's preferred) and 3–5+ years of service coordination or industrial operations experience. • Demonstrate strong customer communication, problem‑solving, and ability to read technical drawings and parts. • Possess knowledge of quoting, job costing, invoicing, and proficiency with ERP systems and Microsoft Office. • Preferred experience with industrial rotating machinery, pump repair, and familiarity with mechanical systems.
