About the Role

The Assistant Property Manager supports the Senior Assistant Property Manager and performs property administrator duties when needed, ensuring professionalism and fostering positive relationships with tenants and clients. Key responsibilities include providing full administrative support, managing lease administration and property files, coordinating bid proposals and service contracts, handling delinquency follow‑up and invoice processing, overseeing tenant move‑ins and move‑outs, and maintaining work order and purchase order systems. The role also involves developing a comprehensive Tenant Service Package, updating office procedures, ensuring certificates of insurance are current, processing staff hours and expense reports, managing tenant bill‑backs, assisting with budget preparation and financial reporting, leading property inspections, and overseeing contractor performance. • Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence; coordinate office supplies in absence of a property administrator. • Assist in lease administration activities, including abstracting leases and keeping our database current. • Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and contracts. • Prepare and coordinate bid proposals and service contracts. • Obtain aging report for management and follow up on all delinquencies, utilizing C&W or client-directed policies. • Ensure invoices are processed in accounting with appropriate back-up and according to established procedures. • Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick up. • Oversee maintenance of work order and purchase order systems. • Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversaries, holiday gifts, park events, newsletters, and training programs; keep tenant information current in the database. • Update and maintain office procedures in the property Operations Procedure Manual under manager direction. • Ensure Certificates of Insurance for tenants and vendors are up to date. • Oversee processing of management and maintenance staff hours, expense reports, and check requests for review and approval. • Process above‑standard tenant bill‑backs for electricity, after‑hours HVAC, and similar charges in a timely manner. • Assist supervisor with annual budget preparation, monthly financial reports, and bank deposit preparation at the on‑site office. • Lead regular inspections of properties with janitorial, landscape, and other service providers as directed. • Participate in performance oversight of all service contractors who perform contract services.

What You Bring

Core competencies required are a strong customer service focus, excellent organization, time management, oral and written communication skills, initiative, multitasking ability, and a sense of urgency. Candidates must have at least a high school diploma or GED (a bachelor's degree is preferred) and a minimum of one year of real estate property management or related experience, with proficiency in Microsoft Office Suite.
