About the Role

The Bilingual Property Service Coordinator oversees and coordinates the delivery of various building services while providing administrative support to the Operations team. Responsibilities include work order management, health, safety & environmental compliance, contract management, invoice processing, and vendor management. The coordinator serves as the primary point of contact for service providers and ensures timely resolution of client requests. • Process service requests via phone, email, and in‑person, maintaining a database for reporting. • Issue contractual services against purchase orders and on‑demand services against work orders. • Prepare and publish tenders, develop scopes of work, and obtain quotes from providers. • Upload documentation to work orders and ensure proper procurement processes with contractors. • Review and dispatch monthly preventative‑maintenance work orders, ensuring timely completion. • Administer service contracts, monitor vendor performance, and schedule cleaning inspections. • Prepare monthly expense summaries, resolve ledger discrepancies, and manage invoice processing. • Ensure health and safety compliance, conduct incident reporting, and manage work permits and PPE usage. • Promote a safe work environment, attend safety meetings, and track H&S documentation. • Communicate purchase orders to managers and suppliers, and approve payments for completed work. • Maintain relationships with clients and service providers, addressing concerns and coordinating activities. • Review work orders for billable status, investigate invoice issues, and ensure accurate billing. • Generate financial and management reports, and verify accuracy of daily, weekly, and monthly reports. • Provide administrative support across departments, completing forms such as RFQs and building advisories.

What You Bring

The role does not lead projects but involves communication that clarifies service requests, provides instructions, and offers training. It requires a working knowledge of specialized areas and the ability to analyze data and choose appropriate solutions, often using one to three software applications. Collaboration within a team and handling multiple concurrent tasks are essential. • Utilize Microsoft Office; knowledge of Oracle Cloud and financial management software is a plus.

Benefits
