About the Role

The Office Administrator is the primary on‑site operational coordinator for a hybrid office of roughly 15 staff. Working independently within defined authority, the role ensures daily office readiness, manages facilities and technology support, oversees inventory and access controls, and maintains a consistent front‑of‑office presence while adhering to corporate policies. • Perform general clerical and administrative support tasks. • Serve as the primary on‑site point of contact during business hours, answering and routing calls and greeting visitors. • Maintain employee directories, contact lists, and administrative records using physical and electronic filing systems. • Process incoming and outgoing mail and packages, including weekly mailroom retrieval. • Coordinate with facilities management for parking, utilities, maintenance, housekeeping, and shared building resources. • Monitor office supplies, inventory, and “SWAG,” submitting purchase requests per procedures. • Manage office security, access control, visitor registration, and badge issuance. • Protect sensitive information and uphold confidentiality at all times. • Support readiness of conference‑room technology and visitor‑management devices. • Liaise with off‑site IT staff to execute tasks and report system issues. • Assist with employee onboarding, access coordination, and documentation. • Ensure compliance with corporate policies, security requirements, and required training.

What You Bring

• High school diploma or equivalent. • Proven experience in office administration, operations support, or facilities coordination. • Proficient with Microsoft Office Suite (Outlook, Word, Excel). • Demonstrated sound judgment, discretion, and adherence to corporate policies. • Strong organizational skills and attention to detail. • Effective written and verbal communication abilities. • Reliable transportation and availability to be on‑site five days per week. • Ability to be on‑call for office emergencies as needed. • Eligibility to obtain and maintain a Public Trust clearance and pass background/drug screening. • Legal authorization to work in the United States without sponsorship; U.S. citizenship required. • Post‑high‑school education, certifications, or ongoing professional development (preferred). • Experience supporting a hybrid or small office and coordinating with remote IT, facilities, or security teams (preferred).
