About the Role

The Assistant Property Manager (CRE) supports the Senior Assistant Property Manager and assumes property administrator duties when needed, ensuring high professionalism and fostering positive relationships with tenants and clients. • Provide administrative support (phone, typing, reports, filing, correspondence). • Coordinate office supplies in the absence of a property administrator. • Assist with lease administration, including abstracting leases and maintaining the database. • Maintain orderly property files, including leases and contracts. • Prepare and coordinate bid proposals and service contracts. • Obtain aging reports and follow up on delinquencies per policies. • Process invoices with appropriate backup according to procedures. • Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup. • Oversee work order and purchase order systems. • Develop and maintain a Tenant Service Package (handbooks, events, newsletters, gifts, training). • Keep tenant information current in the database. • Update office procedures in the Operations Procedure Manual under manager direction. • Ensure certificates of insurance for tenants and vendors are up to date. • Oversee processing of staff hours, expense reports, and check requests for approval. • Process tenant bill‑backs for utilities and after‑hours services promptly. • Assist with annual budget preparation, monthly financial reports, and bank deposits. • Lead regular inspections with janitorial, landscape, and other service providers. • Participate in performance oversight of service contractors.

The role operates in a professional office setting utilizing standard equipment and requires regular travel between properties in varying weather conditions, with physical demands that include extended standing, walking, and occasional climbing of stairs or ladders. • Strong organization skills. • Effective time management. • Excellent oral and written communication. • Ability to multitask. • Sense of urgency. • High school diploma/GED; Bachelor’s degree preferred. • At least 1 year of real estate property management or related experience. • Proficiency in Microsoft Office Suite. • Demonstrates initiative and meets deadlines.
