About the Role
The position provides entry‑level administrative support, including research, preparation of statistical reports, handling information requests, and various clerical duties such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The employee will also perform any other duties as required. Key responsibilities include attending meetings to record minutes, compiling and distributing those minutes, and conducting research to prepare papers for executives, committees, and boards. The role also coordinates office services like records, budget preparation, personnel, and housekeeping, while managing corporate documents, greeting visitors, interpreting policies, arranging travel, and maintaining office schedules. Additional tasks involve handling correspondence, ordering supplies, basic bookkeeping, and preparing agendas, invoices, reports, and presentations using office software. • Attend meetings and record, transcribe, and distribute minutes. • Conduct research, compile data, and prepare papers for executives, committees, and boards. • Coordinate office services such as records, budget preparation, personnel, and housekeeping. • File, retrieve, and manage corporate documents, records, and reports. • Greet visitors and control access to staff. • Interpret administrative and operating policies for employees. • Arrange travel and prepare expense reports. • Manage and maintain office schedules. • Meet with individuals and groups on behalf of executives and boards. • Open, sort, and distribute incoming correspondence (fax, email). • Order supplies, maintain records systems, and perform basic bookkeeping. • Prepare agendas, invoices, reports, memos, letters, financial statements, and presentations using office software. • Respond to routine inquiries and correspondence. • Review incoming memos to assess significance and plan distribution. • Evaluate and improve workflow, reporting procedures, and expenditures. • Establish and oversee administrative policies and procedures. • Supervise and train clerical staff as needed.

What You Bring
Candidates should have 0–5 years of administrative experience, preferably in an engineering environment, and be able to work under moderate supervision while delivering individual results. Required competencies include proficiency with the Microsoft Office Suite, strong attention to detail, proofreading and editing abilities, and effective written, verbal, and interpersonal communication skills. The role demands basic technical knowledge, the ability to follow established procedures, solve routine problems, and manage time to meet deadlines. • Demonstrate 0–5 years of administrative experience, preferably in an engineering environment. • Proficient with Microsoft Office Suite; strong attention to detail, proofreading, editing, and communication skills.
