About the Role

The incumbent will oversee contract interpretation, project set-up validation, data entry, invoice preparation, posting, and archiving while performing work-in-process and closeout analyses and supporting audits. They will also mentor junior staff and partner with IT to enhance system functionality and test new software. • Read and interpret client contracts for accurate project set‑up and compliance. • Review project set‑up documents, budgets, and revisions to ensure alignment with guidelines and decision matrices. • Enter and maintain project data, budgets, work breakdown structures, client updates, and billing details in the Project Accounting System. • Assist with subconsultant invoice processing and coordinate payment releases. • Prepare and produce monthly draft and final invoice packets for clients, ensuring accuracy and client‑specific requirements. • Post final invoices to accounts receivable, adjust or reinstate as needed, and archive invoices. • Conduct in‑depth work‑in‑process and project analysis. • Perform project closeout analysis and support internal and external audits. • Assist in training and mentoring project accounting staff. • Partner with IT and other departments to test, maintain, and improve system functionality and invoice formats. • Support research and testing of new software implementations for the department.

What You Bring

The Project Accountant will own complex project accounting functions, ensuring financial accuracy, client compliance, and timely invoicing across multiple projects. Success in this role depends on strong analytical abilities, deep knowledge of project accounting systems, and effective collaboration with technical, administrative, and financial teams. Candidates should hold a bachelor’s degree in accounting (or an associate’s with additional experience) and possess at least two years of relevant experience, including 0‑2 years in project accounting within a professional services environment. Proficiency with Microsoft Office, Adobe Acrobat, and project accounting tools such as BST or Deltek is required, along with strong communication, organizational skills, and meticulous attention to detail. • Bachelor’s degree in Accounting or related field (or Associate’s with 4+ years experience) and at least 2 years relevant experience. • 0‑2 years of project accounting experience, preferably in professional services. • Proficiency in Microsoft Excel, Word, Outlook, and Adobe Acrobat. • Ability to prepare advanced invoices using Project Accounting Systems, Excel, and client portals. • Working knowledge of project accounting software such as BST or Deltek. • Strong written, verbal, and organizational communication skills. • Exceptional attention to detail, accuracy, and time management.
