About the Role
The Maintenance Scheduler Planner and Facility Coordinator role focuses on boosting workforce productivity and work quality through comprehensive planning, scheduling, and coordination of all plannable work from initiation to completion. The position anticipates and removes potential delays, ensures appropriate materials and equipment are available, and assigns the right personnel while maintaining clear communication with customers, engineering, and purchasing. The incumbent acts as the primary point of contact for tenant work orders, overseeing dispatch, prioritization, and tracking to meet key performance indicators. They collaborate closely with facilities, engineering, property management, vendors, and tenants to guarantee timely maintenance, accurate scheduling, appropriate resource allocation, and efficient use of materials and equipment. Additionally, they support MEP shutdown planning, manage material requisitions, maintain accurate records in the CMMS, and generate regular performance reports. • Serve as first point of contact for tenant work orders and resolve or escalate issues. • Dispatch, prioritize, and track work orders to meet KPI goals. • Provide regular updates to customers on scheduled work. • Maintain strong internal and external communication for a positive customer experience. • Plan and schedule short‑range maintenance activities, assigning preventive and corrective work. • Identify constraints, assign resources, and coordinate with building leads and foremen on contractor work. • Support planning of MEP shutdowns and other scheduled maintenance. • Review planned orders, create requisitions, and secure approvals for materials, equipment, and spare parts. • Verify receipt of materials before scheduling work and ensure purchases meet equipment specifications. • Use CMMS to maintain accurate equipment files, work order costing, and materials tracking. • Create vendor purchase orders through the AP system and ensure timely vendor payment. • Produce monthly reports and track all key performance indicators. • Analyze backlog and resource availability on a monthly basis. • Investigate maintenance issues, identify root causes, and recommend improvements. • Review overdue work orders and escalate risks affecting equipment performance. • Support development and refinement of standardized procedures and long‑range planning goals. • Assist with onboarding new hires and drafting job descriptions. • Ensure technicians submit proper work order documentation. • Review maintenance logs, update rounds/tasks, and support ongoing scheduling improvements.

What You Bring
Candidates must hold a high school diploma or GED, with 1‑2 years of relevant planning or administrative experience in commercial real estate, university, or construction environments. An associate degree in industrial maintenance, engineering, or a related field is preferred, and strong proficiency in Microsoft Office—especially Excel—is required. The role demands strong attention to detail, excellent verbal and written English communication, the ability to work independently and as part of a team, and familiarity with the MRI Angus work order system and equipment log software.
