About the Role
The Administrative Support role is responsible for managing project materials, inventory, and warehouse coordination while also delivering front‑office and administrative services. Responsibilities include maintaining accurate Bills of Material, overseeing material receipt and distribution, managing inventory levels, and supporting fleet, tool, and travel logistics to ensure smooth project execution. • Coordinate with others to ensure the correct parts are ordered for projects. • Keep the Bill of Material (BOM) up to date at all times. • Receive, store, and deliver all project material in a timely fashion. • Manage material loss on projects to zero devices from ordered and received. • Handle material returned due to excess or failure appropriately, including returns to manufacturer, replacements, or inventory transfer. • Coordinate with field employees and accounting to ensure accurate transfer of material between inventory and jobs. • Maintain inventory levels at correct min/max values and advise others on appropriate thresholds. • Perform physical inventory counts as required and maintain zero-dollar variance between counts and balance sheet. • Support material needs of other Bosch Building Technologies locations based on local priorities, including travel for process development and audits. • Greet visitors in person or by phone and direct inquiries appropriately. • Maintain employee and department directories and provide directions to visitors. • Follow security procedures to maintain a safe environment. • Manage office supply inventory. • Maintain upkeep and inventory of the small break room area. • Answer front desk phone, record messages, and transfer calls to the correct department. • Update BidTracer information for the branch office. • Track cell phones and coordinate any changes. • Coordinate meetings for the Tucson Conference Room. • Assist with vehicle fleet maintenance, spare keys, and vehicle transitions between employees. • Maintain system specialist tool inventory for checkout. • Coordinate free stock parts and Project Manager cages. • Coordinate travel requests for employees.

What You Bring
Physical demands of the position require clear communication abilities and occasional manual dexterity for reaching, lifting light items, and operating office equipment. The work environment is a clean, well‑lit, and ventilated office with low to moderate noise levels. • High school diploma or equivalent. • 1+ years of experience as an Administrative Assistant with strong organization and communication skills. • Proficiency with Windows applications: Word, Excel, PowerPoint, and Outlook. • Strong organizational skills with high accuracy and dependability. • Ability to handle conflict and resolve customer inquiries or complaints effectively. • Flexibility to manage multiple tasks simultaneously in a dynamic environment. • Valid Driver’s License. • 2+ years of experience in administrative or customer‑facing roles. • Proven ability to plan work, prioritize, and meet simultaneous deadlines under pressure. • Excellent verbal communication skills for one‑on‑one and small‑group settings. • Strong writing skills for clear and grammatically correct correspondence. • Demonstrated professionalism and composure in handling conflict. • Prior experience with material handling, including purchasing, receiving, warehousing, shipping, and inventory control. • Must be able to effectively communicate (see, hear, speak, write) and have manual dexterity for occasional reaching, lifting light office objects, and operating equipment. • Office environment is clean, orderly, properly lit, and ventilated with low to moderate noise levels. • Dental • Vision

Benefits
Compensation for this position ranges from $28 to $35 per hour, with a Monday‑Friday schedule that may include overtime and on‑call duties.
