About the Role
The Administrative Assistant will support the NYSDOT Project Manager with JTMC contracts, budgets, and financial records, assist the Operations Manager with phone handling, visitor coordination, filing, and general office duties, and perform various administrative tasks for 24/7 JTMC traffic operations. • Assist NYSDOT Project Manager with JTMC contracts, budgeting, and financial record keeping. • Support Operations Manager with telephone handling, visitor reception, filing, and general office duties. • Perform administrative tasks for 24/7 JTMC traffic operations, including recordkeeping of contract communications. • Use software such as Excel, word processing, spreadsheets, graphics, and email to complete assignments. • Prepare memoranda, engineering‑style reports, and graphics per project requirements. • Review outgoing correspondence for grammar, clarity, factual accuracy, policy compliance, and attach appropriate background material. • Manage consumable inventory, office supplies, and miscellaneous items. • Coordinate calendars, conference room scheduling, and multi‑agency facility bookings. • Take meeting minutes and distribute them to attendees. • Schedule appointments and meeting invitations as directed by the JTMC Manager. • Organize files and paperwork flow. • Recommend, implement, or suggest office procedure changes.

What You Bring
Candidates must have an associate degree, 0-2 years of full‑time administrative experience, and familiarity with business office procedures. Ethical decision‑making and passing a NYSP criminal background check are required.

The expected salary range is $37,800 – $68,100, with compensation determined by experience, location, and internal equity.
