About the Role
The Workplace Services Coordinator role is the front‑of‑house face of a premium building, responsible for welcoming tenants and visitors, managing conference and third‑space facilities, and driving tenant‑engagement initiatives. The position also supports leasing inspections, coordinates catering, and assists with building operations and sustainability strategies. The coordinator will curate events, maintain digital platforms, and handle administrative tasks to ensure a seamless workplace experience. • Greet and assist tenants and visitors with warmth and professionalism. • Provide clear directions, local recommendations, and seamless assistance for all requests. • Keep front‑of‑house areas immaculate and inviting. • Deliver VIP meet‑and‑greet services, escorting guests to elevators and designated areas. • Respond to enquiries via phone or email with enthusiasm. • Lead building tours for new and existing tenants to foster community connections. • Support leasing inspections and vacant suite presentations. • Oversee booking, administration, and maintenance of conference rooms for a seamless user experience. • Serve as central point of contact for client queries and wayfinding in conference and third spaces. • Assist with technology and presentation equipment, introducing new tools to improve processes. • Coordinate catering services, ensuring timely delivery and professional presentation. • Manage end‑of‑trip facilities, including locker rentals and maintenance coordination. • Champion tenant experience by promoting engagement initiatives, events, and retail offerings. • Organise interest groups such as sustainability committees, fitness initiatives, and networking events. • Develop and distribute tenant newsletters, digital content, and community updates. • Collaborate with building management to enhance customer experience strategies. • Gather and analyse customer data to identify engagement trends. • Curate and host engaging events aligned with the customer experience strategy. • Plan event concepts, logistics, execution, and communication strategies. • Track event participation, feedback, and budgeting to improve future events. • Create and present an annual events calendar. • Manage booking systems and front‑of‑house digital platforms. • Perform administrative tasks including service request logging and lost property management. • Support general building operations with an agile, solution‑focused approach. • Implement client sustainability strategies. • Build rapport and cooperative relationships with customers and visitors. • Maintain a one‑team attitude with building management and partners. • Obtain a novated lease for electric vehicles.
