About the Role
The Maintenance Scheduler role is the strategic orchestrator of facility maintenance operations, creating and managing preventive maintenance programs for mechanical, electrical, plumbing and building systems. By partnering with technicians, vendors and facility managers, the scheduler ensures smooth, efficient building performance and contributes to cost management and client satisfaction. • Develop and maintain preventive maintenance schedules for mechanical, electrical, plumbing, and building systems. • Coordinate repair, inspection and routine maintenance activities with technicians, contractors and vendors. • Use CMMS (e.g., Maximo, ServiceNow) to create work orders, track performance metrics and generate reports. • Analyze equipment data and maintenance histories to optimize scheduling intervals and predict failures. • Prioritize maintenance tasks with facility managers based on operational needs and budget constraints. • Manage emergency response scheduling and arrange urgent repairs to minimize disruptions. • Monitor inventory of maintenance supplies and coordinate procurement with purchasing teams. • Prepare detailed maintenance performance reports for clients and internal stakeholders. • Ensure all maintenance activities comply with regulations, manufacturer recommendations and industry best practices. • Apply strong analytical, organizational and time‑management skills in a fast‑paced environment. • Communicate effectively with technicians, vendors and clients at all levels.

What You Bring
• Hold a bachelor’s degree in Engineering, Facilities Management, Business Administration or related field. • Possess 3–5 years of experience in maintenance scheduling or facilities management. • Demonstrate proficiency with CMMS platforms and advanced Excel for data analysis. • Knowledge of HVAC, mechanical, electrical and plumbing systems and their maintenance requirements. • (Preferred) Professional certification such as CFM or FMP. • (Preferred) Experience with predictive maintenance, condition monitoring and building automation systems. • (Preferred) Background in commercial real‑estate or corporate facilities environments. • (Preferred) Familiarity with lean maintenance, continuous improvement and regulatory compliance (OSHA, EPA). • (Preferred) Project management certification (PMP or CAPM).

The position is based onsite in Thousand Oaks, California, with an estimated salary range of $70 k‑$73 k per year.
