About the Role

As a Facilities Coordinator you will support the General Manager and leadership team, ensuring smooth day‑to‑day operations of the resort’s administrative functions. You will embody our Spirit of Service culture and contribute to the property’s success by delivering high‑quality support across departments. • Provide administrative support to the General Manager and department heads, including scheduling, communications, and project coordination. • Act as primary liaison for office operations, maintaining a safe, organized, and welcoming environment. • Support front‑of‑house staff with internal and guest‑related needs. • Manage incoming and outgoing mail, courier services, and vendor communications. • Process and code invoices, maintaining accurate purchase and expense records. • Coordinate creation, deactivation, and troubleshooting of employee security badges and building access systems. • Order and manage inventory of office supplies, business cards, and stationery. • Ensure office equipment functions properly and arrange service calls or maintenance as needed. • Provide front office coverage during breaks, greeting guests and answering calls professionally. • Serve as point of contact for facility‑related issues, coordinating repairs with the Facilities Manager. • Build and submit purchase orders for the facilities operations department. • Assist with guest service coordination, special requests, group bookings, and resort events. • Collaborate with housekeeping, front desk, food & beverage, and recreation teams to ensure seamless service delivery. • Monitor guest feedback and help implement service improvements. • Maintain detailed records of guest preferences, service recovery efforts, and administrative documentation. • Help plan and execute resort events, group bookings, and special occasions.

What You Bring

• High school diploma or GED required. • Minimum three years of experience in administrative, facilities, or hospitality support roles. • Strong organizational, written, and verbal communication skills. • Ability to manage multiple tasks independently and efficiently. • Proficiency in Microsoft Office, especially Word, Excel, and Outlook. • Energetic, proactive, and committed to delivering excellent internal and external customer service. • Ability to work collaboratively across departments and with all levels of staff. • Capable of lifting up to 25 pounds. • Demonstrates strong vitality, good follow‑through, and internal customer focus. • Team‑oriented attitude with the ability to interact effectively at all organizational levels.
