About the Role
The Assistant Building Manager coordinates daily building operations, supervising supply partners and managing scheduled, reactive and emergency maintenance through the company’s preferred CAFM system. They act as the primary point of contact for occupier queries and provide operational cover for the Engineering Manager during leave or sickness. In addition to overseeing the CAFM platform, the role interfaces with the service desk to ensure smooth system operation, promptly authorises work orders and maintains accurate records. Promotion of help‑desk utilisation and monitoring performance against agreed service level agreements are also key responsibilities. Occupier liaison is a central focus; the manager resolves facilities‑related queries, escalates lease or service‑charge matters to the relevant estate surveyor and maintains a visible on‑site presence through scheduled visits and informal engagement. A solution‑focused, customer‑first mindset enhances the occupier experience and strengthens the Cushman & Wakefield brand. The role assists in keeping the building fully compliant with statutory and legal requirements, supporting inspections, remedial works and annual risk assessments such as asbestos, fire and health & safety. Audit actions are tracked and completed according to risk priority, and business continuity and major incident plans are developed and tested. Health and safety responsibilities include identifying works that fall under CDM Regulations, ensuring the appointment of a Principal Contractor and referring technical proposals to the Technical Services team. The manager supports safe working practices across all site activities. Contractor activity on site is overseen to ensure adherence to Cushman & Wakefield’s Rules for Contractors. This includes auditing documentation, monitoring workmanship quality, and enforcing supply‑chain policies. Financial duties involve raising purchase orders, authorising invoices within approved service‑charge budgets, and producing quarterly variance reports in line with the RICS Code of Practice. The manager also supports debt recovery, annual fee reviews and ensures alignment of all fees with agreed scopes of service. Regular property inspections are conducted and documented within the risk‑management system, while incident and accident reporting follows established escalation procedures. The role assists with insurance claims, ensuring accurate information capture and stakeholder communication. • Coordinate daily building operations and supervise supply partners using CAFM. • Serve as primary contact for occupier inquiries and provide cover for the Engineering Manager. • Manage CAFM system and helpdesk, authorise work orders, and monitor SLA performance. • Resolve occupier queries, escalate lease/service charge issues, and maintain on‑site presence. • Handle complaints, communicate progress, and recommend process improvements. • Ensure statutory compliance, conduct risk assessments, and track audit actions. • Oversee contractor activities, conduct documentation audits, and enforce C&W policies. • Manage service charge budgets, raise purchase orders, authorise invoices, and produce variance reports. • Support property inspections, incident reporting, and insurance claim administration. • Monitor lease compliance, update sustainability data, and ensure timely meter readings. • Lead by example, promote C&W values, and adhere to HR policies on wellbeing.

What You Bring
Successful candidates will have a proven track record in facilities management of multi‑building portfolios, strong knowledge of output specifications and performance‑based contracts, and experience working in a collegiate, matrix environment. Budget management, cost control, financial reporting and variance analysis across multiple assets are essential. Key personal qualities include a solution‑focused attitude, self‑motivation, high emotional intelligence and the ability to balance customer experience with commercial priorities. The role requires excellent communication, problem‑solving and organisational skills, as well as resilience in a fast‑paced setting. Required qualifications are a minimum IWFM Level 3 Certificate, an IOSH Health & Safety qualification and membership of a professional body such as IWFM. Candidates should also be an AssocRICS (or working towards) and hold the INCO certification. • Demonstrate FM experience with multi‑building portfolios, budget control, and stakeholder management. • Possess IWFM Level 3, IOSH Health & Safety, and RICS association (or working towards).
