About the Role

The incumbent will collect, review, and upload drawings, manuals, test reports, and calculations into the document management system (EDMS) and shared drives. They will organise files into electronic binders, create hard‑copy binders for installation and as‑built documentation, and manage transmittals for customer review and approval. Regular follow‑up with engineering, tender, and other departments is required to maintain up‑to‑date project documentation status. Ensuring compliance with external and internal regulations, procedures, and guidelines is a key part of the job. The specialist will communicate with the Project Manager and cross‑functional teams to clarify requirements, suggest improvements, and facilitate document approvals. After customer sign‑off, the project is handed over to the After‑Sales department. • Collect, review, and upload project drawings, manuals, test reports, and calculations from internal teams and suppliers. • Structure and organise electronic binders and hard‑copy folders for tender, installation, and as‑built documentation. • Distribute documents for review, approval, and transmittal to customers and internal departments. • Maintain up‑to‑date project documentation status in the EDMS and ensure compliance with regulatory guidelines. • Coordinate follow‑up with engineering, tender, and other departments to obtain missing or revised documents. • Prepare and send documents to the e‑Room for web‑based access by geographically dispersed teams. • Produce hard‑copy binders for final plant and as‑built records and deliver them to site locations. • Hand over fully approved documentation to the After‑Sales department post‑customer approval.

What You Bring

Candidates must hold a bachelor’s degree in engineering or a relevant diploma and have 2‑6 years of experience in contract reading and document management. Proficiency in MS Office (Excel, Word, PowerPoint) and EDMS tools, along with strong written and verbal English skills, is required. Attention to detail, teamwork, and the ability to produce reports and maintain records are essential. • Required: Bachelor’s degree in engineering or diploma, 2–6 years of contract reading and document control experience. • Required: Proficiency in MS Excel, Word, PowerPoint and experience with EDMS or similar document management systems. • Required: Strong written and verbal English communication, attention to detail, and ability to work collaboratively.
