About the Role
The Associate Proposal Coordinator administers the proposal process, managing multiple proposal teams, searching SAM.gov for RFPs, interpreting requirements, and preparing compliance matrices. Responsibilities include maintaining configuration control, coordinating data calls and past‑performance information, building response templates, editing and formatting documents, and overseeing the hard‑copy submittal process. The role also supports the Proposal Manager by tracking schedules, preparing meeting agendas, reviewing solicitation changes, developing supporting documents, delivering training, handling desktop publishing, and managing PMC site access and close‑out activities. • Coordinate administrative aspects of multiple proposal efforts, acting as manager for subcontract proposals and assistant on prime proposals. • Search SAM.gov for RFP documents, interpret requirements, and create compliance matrices. • Maintain configuration control and manage data calls with internal teams and external partners. • Prepare, edit, and format proposal documents; build templates; ensure compliance with KBR branding and RFP guidelines. • Facilitate color‑team reviews, schedule reviewers, and oversee final production and hard‑copy submittal. • Support the Proposal Manager with schedule tracking, meeting agendas, and ad‑hoc writing tasks. • Develop and update supporting documents such as PMC user lists, reviewer lists, and response templates. • Provide training, desktop publishing, and graphics coordination for proposal teams. • Lead subcontractor proposal efforts, serving as primary point of contact between KBR and the prime contractor.

KBR is seeking an Associate Proposal Coordinator with experience in a DoD contracting environment. The role requires exceptional organization, strong interpersonal abilities, and a customer‑service mindset to manage and coordinate proposal development efforts, ensure compliance with requirements, collaborate with cross‑functional teams, and contribute to high‑quality, competitive submissions. Basic qualifications require U.S. citizenship, a BA/BS degree (or equivalent experience) and at least two years of relevant experience, with three years of proposal coordination in a DoD environment preferred. Candidates must understand government contracting processes and regulations (FAR/DFARS), communicate effectively with the Proposal Manager, and review solicitation documents carefully. Preferred qualifications include four or more years of relevant experience, impeccable organizational skills, advanced proficiency with MS Word, SharePoint, and Adobe Acrobat, the ability to multitask and meet deadlines, strong interpersonal and written communication abilities, leadership capability, familiarity with AI tools for proposal development, and an APMP certification as a plus. • Required: U.S. citizenship, BA/BS (or equivalent experience) and at least 2‑3 years proposal coordination in DoD contracting (FAR/DFARS). • Preferred: 4+ years experience, advanced MS Word/SharePoint skills, strong organization and communication abilities, team leadership, AI tool proficiency, APMP certification.
