About the Role
The Property Management Assistant supports a team of Property Managers by handling administrative tasks and reporting for a portfolio of investment and corporate properties. This role serves as the first point of contact for tenant and customer service requests, ensuring timely and professional responses. Key duties include maintaining financial controls, preparing and analyzing expenditure reports, and assisting with budget development. The assistant coordinates document preparation, transcriptions, and the distribution of leasing, vendor, and emergency information while managing filing and tracking systems. Additional responsibilities involve administering accounting reports, processing vendor and tax invoices, organizing meetings, and overseeing office supplies and equipment maintenance. The role also supports monthly billing, tenant rent collections, and periodic adjustments. • Process and report property expenditures, ensuring financial controls are in place. • Coordinate tenant service requests, delegate to technicians, and follow up with stakeholders. • Prepare lease abstracts, vendor insurance certificates, service agreements, and emergency contact lists. • Administer monthly accounting reports such as rent rolls, general ledger, and variance analyses. • Assist Property Managers with annual budget preparation and periodic billing adjustments. • Manage office supplies, copying, faxing, and equipment maintenance coordination. • Provide high‑quality proofreading, editing, and professional communication. • Maintain confidentiality on personnel and industry matters.

What You Bring
Candidates should have a Bachelor’s degree or a high school diploma with 3‑4 years of real‑estate related experience, proficiency in MS Word and Excel, and strong communication, proofreading, and organizational skills. A broker or salesperson license is required where applicable. • Hold a broker or salesperson license as required for property management in the relevant state.
