About the Role

The Workplace/Mailroom Coordinator is responsible for delivering an exceptional client and team‑member experience in every interaction. Acting as the first point of contact, they welcome employees and guests with genuine hospitality while proactively building rapport with clients to minimise escalations. The role supports a wide range of on‑site services, including property, facilities, ergonomics, emergency preparedness, event management, desk and parking booking, and AV/VC issues. It ensures adherence to IAG workplace guidelines, maintains meeting rooms in a pristine state, coordinates catering and AV suppliers, and manages the mailroom and administrative logistics. The coordinator also drives digital mail handling, provides guidance on self‑service technical support, and identifies opportunities to expand service offerings for the line manager’s consideration. • Greet employees and guests with genuine hospitality as the first point of contact. • Build and maintain strong relationships with clients and stakeholders to minimise escalations. • Coordinate property, facilities, ergonomics, emergency preparedness, event management, desk/parking bookings, and AV/VC issues. • Ensure compliance with IAG workplace guidelines for a safe, welcoming environment. • Maintain meeting rooms in pristine condition and set up for each booking, liaising with catering and AV suppliers. • Manage mailroom operations and provide administrative and logistic support. • Promote digital mail handling by scanning incoming correspondence to a digital mailbox. • Identify opportunities to expand service offerings and communicate them to the line manager. • Provide guidance on self‑service technical support (security, safety, IT).

What You Bring

Ideal candidates will have well‑developed interpersonal, time‑management, and project‑management skills, as well as experience in hospitality, hotel management, or high‑end corporate concierge. Experience managing meeting‑room services, continuous‑improvement initiatives, and client reporting is advantageous. Professional presentation, proficiency in Microsoft Word, Excel, PowerPoint, and strong written and verbal English are required. • Demonstrate well‑developed interpersonal, time‑management, and project‑management skills. • Possess hospitality or corporate concierge experience; meeting‑room service experience is a plus. • Proficient in Microsoft Word, Excel, PowerPoint and fluent in written and spoken English.
