About the Role

The Vendor and Project Data Coordinator maintains accurate vendor records and performs ongoing ERP data maintenance, ensuring compliance with company policies and statutory requirements. The role also supports project setup and provides general administrative assistance to the accounting and finance department, requiring strong organization, multitasking, and attention to detail. • Set up and maintain vendor records in the ERP system. • Ensure compliance with company policies and legal requirements such as year‑end tax reporting. • Maintain documentation of vendor setup, changes, and compliance tracking. • Coordinate with vendors and employees to complete compliance verification processes. • Review project initiation documents for completeness and accuracy. • Create and issue project numbers for various project types. • Enter detailed project information into ERP, including coding structure, budgets, and billing terms. • Coordinate with project managers, coordinators, and accounting staff to ensure accurate project setup and alignment. • Monitor data integrity and resolve discrepancies in project setup. • Maintain standardized procedures and documentation. • Prepare presentations and slide decks for internal and external use. • Manage the accounting and finance department calendar, scheduling meetings and events. • Distribute mail and emails to correct recipients. • Update departmental references, procedures, and documentation. • Perform data entry and other administrative tasks to support financial operations. • Stand and/or sit in a stationary position for extended periods (50%+ of the time).

What You Bring

Physical demands include standing or sitting for extended periods, regular use of a computer in an office environment, and occasional lifting of up to 25 lb unassisted. • High School Diploma or GED. • 1–3 years of administrative experience, preferably in accounting, finance, or construction. • Proficient with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook). • Strong organizational and data entry skills with high attention to detail. • Excellent verbal and written communication, able to interact with internal and external customers. • Ability to work under pressure, meet deadlines, and maintain a positive attitude and exemplary customer service. • Ability to use time productively, maximize efficiency, and meet challenging work goals. • Ability to maintain compliance with all company policies and procedures. • Exceptional work ethic and adherence to company values and high conduct standards. • Experience in construction, finance, or accounting is highly desired. • Knowledge of vendor setup processes and compliance requirements. • Familiarity with construction‑specific software such as Vista Viewpoint. • Advanced knowledge of accounting software, internet applications, and Microsoft Excel. • Use a computer/laptop/iPad in an open office environment with natural or fluorescent lighting. • Lift up to 25 lb unassisted.
