About the Role

The specialist partners closely with the Operations Manager and Managing Principal to oversee facilities, technology, and vendor management while serving as the primary point of contact for internal and external stakeholders. Responsibilities include supporting business continuity planning, recruiting and onboarding processes, managing office supplies and moves, tracking expenses, processing invoices, and assisting with budget administration using Workday and Salesforce. The role also prepares routine and ad‑hoc financial reports, maintains data accuracy in CRM systems, leads cross‑functional projects to improve efficiency, and collaborates with counterparts in other markets. Additional duties involve event planning, training programs, internal communications, high‑level administrative support, and ensuring compliance with company policies and regulatory requirements. • Coordinate facilities, technology, and vendor management to ensure smooth office operations. • Serve as primary liaison for internal and external stakeholders, organizing meetings and events. • Support business continuity and emergency preparedness planning. • Assist HR with recruiting, onboarding, offboarding, and maintain accurate staff records. • Manage office supplies, equipment, maintenance requests, and oversee office relocations. • Track expenses, process invoices, and help administer budgets using Workday and Salesforce. • Produce routine and ad‑hoc financial reports and analyses for leadership. • Maintain data integrity in CRM systems, attributing expenses to deals and reconciling budgets. • Lead or support cross‑functional projects aimed at improving operational efficiency. • Collaborate with market counterparts to share best practices and drive continuous improvement. • Contribute to event planning, training initiatives, and internal communications. • Provide executive administrative support, including calendar management, travel arrangements, and expense reporting. • Ensure compliance with company policies, licensing requirements, and regulatory standards. • Work on‑site five days a week with a self‑motivated, customer‑service orientation.
