About the Role
The Property Administrator performs administrative functions for the Property Management Team, delivering professional handling of property issues and ensuring timely responses to tenant requests and concerns. • Provide full administrative support including phone assistance, report typing, filing, and correspondence distribution. • Schedule and coordinate meetings and special events as requested. • Assist in lease administration by managing tenant contacts, insurance information, and generating related reports. • Prepare and coordinate bid proposals, service contracts, and approved invoices; support the bidding process. • Code invoices for Property Manager approval and process tenant bill‑back invoices. • Maintain office supply inventory and ensure the office is stocked with required items. • Enter and maintain contract and certificate of insurance data in contract administration software; track expirations. • Track, file, and monitor contracts, insurance certificates, and lease files. • Manage the property maintenance work order system and produce monthly status reports. • Maintain the property purchase order system and process expense reports, meter readings, and check requests. • Foster positive relationships with tenants and clients; track service calls as required. • Assist with monthly, quarterly, and annual management reports and budget preparation. • Process staff hours and coordinate with accounting for expense approvals.

What You Bring
The position works in a professional office environment using standard office equipment and may require occasional travel between buildings; physical demands include standing, walking, and occasional stair use, with the majority of time spent at a workstation. • Key competencies: strong oral and written communication, customer focus, organizational and interpersonal skills, initiative, and multitasking. • Education: High school diploma/GED required; bachelor's degree preferred. • Experience: Customer service experience preferred. • Eligibility: Proficiency with Microsoft Office; ability to handle confidential information and work with decision‑makers.
