Project Coordinator
Administrative coordination supporting project director and team for large hotel development
Job Highlights
About the Role
• Provide informal guidance to junior team members. • Support diary management for the project director/manager alongside the office manager. • Ensure team members understand and follow administration processes. • Assist with setting up the project office, including IT equipment and furniture. • Create and maintain electronic and hard‑copy filing systems. • Ensure staff regularly update their Infomace home page. • Arrange project email addresses, Outlook mailboxes, and file inbox emails. • Process incoming and outgoing correspondence according to Mace standards. • Archive project documentation and retain records for client handover. • Place orders from Mace suppliers. • Assist in booking meeting rooms and arrange refreshments for client/external meetings. • Maintain a log of Mace training records and coordinate tests/training as required. • Manage petty cash and perform reconciliations for the accounts department. • Provide administrative support such as typing letters, minutes, and reports. • Update the project directory, issue communications via email, and upload to Conject. • Coordinate site visits for clients and project teams. • Manage the site meeting‑room diary. • Work collaboratively toward net‑zero carbon transition, managing associated emissions and reductions.
