About the Role

The Manager – Facilities – Soft Services will lead the delivery of non‑technical services across JLL‑managed buildings, ensuring a seamless and comfortable environment for occupants. This role requires strong communication, stakeholder management, and the ability to oversee multiple initiatives globally. Key responsibilities include supervising building maintenance and renovations, developing procedures and budgets, managing vendor contracts and service level agreements, and driving continuous improvement. The manager will also lead staff development, produce performance reports, implement sustainability and technology initiatives, ensure regulatory compliance, and manage risk and health‑safety programs. • Supervise and coordinate regular maintenance activities for the facility. • Oversee repairs and renovations to ensure the facility is in optimal condition. • Develop and implement building procedures and performance measures for accurate work methods and reliable systems. • Develop and manage budgets for facility operations and maintenance. • Identify cost‑saving opportunities and efficiency improvements. • Develop and implement service level agreements (SLAs) with vendors and internal stakeholders. • Monitor and evaluate service quality, identifying areas for improvement and implementing solutions. • Conduct regular site inspections to maintain high standards of cleanliness and safety. • Collaborate with internal teams and external partners to enhance service delivery. • Foster a culture of innovation and continuous improvement in soft services management. • Manage and assist with the personal development of all direct reports. • Develop and manage succession plans and appraisals for all direct reports. • Actively train subordinates in all aspects of non‑technical services. • Prepare daily/weekly reports such as Snags, TPV manpower count, and attrition data. • Contribute to the monthly management report to the client and other required reports. • Conduct regular MMR meetings with respective clients. • Present analysis on record maintenance for scope improvement. • Establish key performance indicators (KPIs) for facility operations. • Provide regular reports on facility performance and improvements. • Manage service contracts, including inspections and quality management of service delivery. • Prepare tender documentation, evaluate tenders, and draft contracts. • Allocate contract resources to achieve SLAs and KPIs at optimal cost for the client. • Coordinate with JLL SCM team to develop the vendor base and streamline procurement processes. • Ensure quick resolution of any breakdowns or repair & maintenance activities on site. • Evaluate performance of all manpower and AMC vendors according to agreed SLAs. • Implement eco‑friendly practices and initiatives for energy efficiency. • Integrate sustainable solutions for waste management and resource conservation. • Utilize technology for facility management, such as CMMS and security systems. • Evaluate and implement technological solutions to enhance efficiency. • Stay informed about and ensure compliance with relevant local, state, and federal regulations. • Implement changes to maintain compliance as regulations evolve. • Communicate effectively with occupants, management, and relevant stakeholders. • Address concerns and ensure a positive working environment for all. • Identify potential risks to the facility and implement mitigation strategies. • Develop contingency plans for unforeseen events. • Participate in emergency evacuation procedures, crisis management, and business continuity. • Manage all health and safety issues and actively participate in health and safety reviews.

What You Bring

Candidates must hold a bachelor's degree in Facility Management, Business Administration, or a related field, and possess at least eight years of experience in soft‑service facility management. Proven expertise in vendor relationship management, health‑and‑safety regulations, and proficiency with Microsoft Office and facility‑management software are essential. • Multi‑skill all JLL staff to increase flexibility and job satisfaction. • Bachelor's degree in Facility Management, Business Administration, or related field. • Proven track record of managing vendor relationships and service contracts. • Strong knowledge of health and safety regulations and best practices. • Excellent communication and interpersonal skills. • Proficiency in Microsoft Office suite and facility management software. • Ability to prioritize tasks and manage multiple projects simultaneously. • Mastery in the field with more than 8 years of experience in Facility Management – Soft Services.
