About the Role
This position serves as the first point of contact for visitors, customers, and vendors while managing essential office operations and facilities coordination. The role is critical to maintaining a professional, welcoming environment and ensuring smooth daily office operations. Key responsibilities include handling mail and packages, coordinating conference room bookings, managing hospitality services, maintaining office supply inventory, and providing general administrative support. The employee also processes parking validation, maintains visitor logs, and assists with special projects and company events. • Receive, sort, and distribute incoming mail and packages. • Prepare outgoing mail and coordinate shipments via UPS, FedEx, and USPS. • Maintain shipping logs and tracking information; notify employees of incoming packages. • Schedule and coordinate conference room bookings. • Manage hospitality services, including coffee stations, beverages, and breakroom supplies. • Order and maintain office supply inventory, ensure adequate stock levels, and keep the supply room organized and clean. • Process parking validation through a web‑based system. • Maintain visitor log and assign flex office space to guests and visiting employees. • Assist with special projects, company events, and general administrative support.

What You Bring
Candidates must have at least a high school diploma and 3‑5 years of related experience, be able to work 8:00 am‑5:00 pm Monday through Friday, and be highly proficient with Microsoft Office and standard office equipment. Strong typing, data entry, confidential information handling, verbal and written communication, interpersonal, and organizational skills are required, as is the ability to work independently and communicate effectively with C‑Level executives. The position involves regular sitting, standing, walking, and the use of hands to operate office tools, with occasional exposure to typical office environmental conditions such as fumes, dust, or poor ventilation. Physical demands are representative of standard office work and must be met to perform essential functions.
