About the Role
In this role you will oversee the scheduling of maintenance work, ensuring that both planned and emergency tasks are executed efficiently across the organization. You will act as the primary liaison between engineers, customers, and internal support teams to maintain smooth field operations. • Coordinate engineer appointments and manage dynamic diaries • Communicate with customers via phone and email to confirm schedules and resolve queries • Order parts, secure purchase orders, and complete permits • Navigate multiple customer portals and internal systems • Collaborate with Service Managers to optimize engineer productivity • Liaise with Sales, Billing, FM Helpdesk, and Subcontractors • Support KPIs and reporting to the Planning Team Manager

What You Bring
• At least 1 year of customer service experience • Excellent written and verbal communication skills • Strong multitasking and time‑management abilities • High attention to detail and urgency • Confident decision‑making and problem‑solving skills • Proficiency in using multiple PC applications • Experience with GANT‑based planning or dispatch software (nice‑to‑have) • Familiarity with processing invoices and purchase orders (nice‑to‑have) • Previous scheduling experience in a service or maintenance role (nice‑to‑have)
