About the Role

The role delivers high‑quality meetings and events by merging strategic logistics with premium hospitality services. You will support end‑to‑end event execution for employees, visitors, and external partners while working with senior leaders on high‑profile meetings and site visits. This position is ideal for detail‑oriented professionals who excel at creating seamless experiences. • Manage meeting logistics, calendar coordination, registration, catering, and signage for scientific meetings and executive visits. • Welcome guests, handle registration, badges, parking, and security to ensure excellent visitor experiences. • Coordinate symposiums, pitch events, and Astellas‑sponsored activities on‑site and off‑site to boost visibility and partnerships. • Support hybrid meetings with AV setup, testing, and troubleshooting, including global sessions with time‑zone and cultural considerations. • Oversee vendor contracts for catering, IT, and logistics, ensuring policy compliance and cost‑effectiveness. • Process compliance documentation, purchase orders, P‑Card expenses, and inventory, tracking budgets and optimizing costs. • Collaborate with IT and Facilities to ensure optimal room setup, AV readiness, and operational support. • Act as primary liaison with academic institutions and biotech incubators, managing vendor credentials and site access. • Generate reports and logs on visitor activity, room utilization, facility metrics, and event budgets for data‑driven improvements.

What You Bring

• Minimum high school diploma and 2+ years experience in customer service, hospitality, admin support, or meeting coordination. • Proficient with Microsoft Office, Outlook calendar, and room‑booking systems. • Strong communication and interpersonal skills; able to work with senior executives. • Excellent organization and time‑management; prioritize competing demands in fast‑paced settings. • High attention to detail with a commitment to accuracy and quality. • Basic AV equipment operation and independent troubleshooting or coordination with IT. • Associate degree in hospitality, event management, business administration, or related field. • Experience in corporate, research, or professional services environments with confidentiality awareness. • Background in event planning, corporate concierge, or high‑end hospitality settings. • Familiarity with R&D environments and regulatory compliance documentation. • Certifications in customer service excellence, event management, or hospitality management. • Experience with digital signage tools and advanced AV system operation.

Benefits

The position is based on‑site in Cambridge, MA, with a standard Monday‑Friday schedule of 8 am to 5 pm (flexibility may be required). Salary is estimated between $65,000 and $79,500 annually, with an hourly range of $31.50‑$38.22. Visa sponsorship is not provided; candidates must be authorized to work in the United States.
