About the Role

The Rental Coordinator is responsible for entering and invoicing rental orders, maintaining job files, coordinating inventory needs, overseeing repair and maintenance of rental hardware, and communicating shortages or delivery issues to sales and customers. The role also supports equipment shipment scheduling, return processing, and project close‑out billing. • Review and distribute job write‑ups with contact, billing, cost, and engineering details • Enter Bill of Materials from engineering into the system and distribute to operations • Coordinate ship dates with sales reps and confirm equipment substitutions with engineering, sales, and operations • Issue and expedite consumable, special‑order, and re‑rent material orders; manage backorders to meet ship dates • Finalize shipping schedule with sales and customer; generate pull tickets, system drawings, and Bills of Lading • Notify sales of shipments, generate system billing, and confirm all items (freight, engineering, consumables, special orders) are billed • Manage backorders, follow‑up shipments, and additional orders • Send return instructions, scheduling, bundling, and charge details to customers • Provide tally sheets and notify operations/returns team of incoming returns • Receive return counts, cleaning, and damage information; notify customers/sales of discrepancies • Enter return data, generate return billing, and document damage/cleaning charges • Generate final billing, notify sales of lost equipment charges, and ensure re‑rent items are accounted for • Audit project files for completeness • Serve as secondary contact for customer inquiries and develop product knowledge of the Jobsite Formwork division • Create and maintain project files; act as liaison among sales, engineering, and operations • Review and approve re‑rent and freight billing • Assist with month‑end closing and special projects assigned by management
