About the Role
The Office Coordinator is responsible for day‑to‑day workplace operations, ensuring a professional and well‑maintained office environment and partnering with internal teams and external vendors to support business efficiency and culture. This salaried, exempt role aligns work hours with business needs and reports to the Manager of Office Administration. • Coordinate day‑to‑day office operations and maintain professional environment. • Ensure conference rooms are ready and office presentation standards are met. • Plan logistics for internal meetings and office events, managing scheduling, setup, and vendor coordination. • Manage office supply inventory, ordering cadence, and resolve related issues. • Oversee relationships with vendors for supplies, catering, shipping, and facilities support. • Direct shipping and mail operations, coordinating courier services and logistics. • Partner with IT to coordinate office equipment needs. • Prioritize operational tasks, make decisions to maintain continuity, and recommend process improvements. • Support sustainability and recycling initiatives. • Provide notary public services as required. • Coordinate internal and external events, handling vendor selection, logistics, and post‑event follow‑up within budget. • Manage corporate gifting and swag programs, including inventory oversight and distribution logistics. • Handle off‑site coordination tasks and occasional travel as needed.
