About the Role

The Manager, Payroll oversees and executes accurate, timely, and compliant payroll processing for a multi‑state, mid‑size organization, managing day‑to‑day operations, ensuring adherence to federal, state, and local wage and hour laws, and serving as a subject matter expert for payroll systems, audits, and reporting. The role also supervises payroll staff where applicable and partners closely with HR, Finance, and external vendors to maintain payroll integrity and regulatory compliance. Core duties include overseeing full‑cycle bi‑weekly payroll processing, reviewing and approving timecards, pay adjustments, deductions, earnings codes, and leave balances, and issuing manual checks for off‑cycle payments. The manager ensures compliance with wage and hour laws, reconciles gross wages, withholdings, and employer taxes, and coordinates quarterly and annual tax filings such as W‑2 preparation. As the primary payroll administrator for the HRIS, the manager supports system configuration, upgrades, new earnings/deduction setups, and process improvements while maintaining payroll records and resolving variances and employee inquiries. Leadership responsibilities involve supervising, training, and cross‑training payroll staff, developing standard operating procedures, and collaborating with HR, Benefits, Accounting, and Operations on employee lifecycle events. • Oversee and process bi‑weekly full‑cycle payroll, including review, audit, approval, and submission. • Ensure payroll accuracy and timeliness in compliance with company policies and federal, state, and local regulations. • Review and approve timecards, pay adjustments, deductions, earnings codes, and leave balances. • Issue and reconcile manual off‑cycle payroll checks as needed. • Maintain compliance with wage and hour laws, overtime rules, and exempt/non‑exempt classifications. • Reconcile gross wages, withholdings, and employer taxes for weekly, quarterly, and annual reporting. • Coordinate quarterly and annual tax filings, including W‑2 preparation and distribution. • Partner with Finance and third‑party vendors to reconcile payroll tax filings and fringe benefit reporting. • Serve as primary payroll administrator for the HRIS, handling processing, reporting, and system configuration. • Support payroll system upgrades, new earnings/deduction setups, and implement process improvements. • Maintain payroll records and documentation for timekeeping, pay eligibility, and leaves. • Investigate and resolve payroll variances, discrepancies, and employee inquiries promptly. • Supervise, train, and cross‑train payroll staff to ensure coverage and consistency. • Develop and maintain standard operating procedures for payroll processes and controls. • Collaborate with HR, Benefits, Accounting, and Operations on employee lifecycle events. • Escalate complex or uncommon payroll issues to senior leadership or system partners as appropriate.

What You Bring

The ideal candidate holds an associate degree in Accounting, Finance, or a related field (bachelor’s preferred) and possesses 3–5 years of hands‑on full‑cycle payroll experience in a multi‑state environment, including tax compliance, with 2–3 years of ADP Workforce Now experience strongly desired. • Hold an associate degree in Accounting, Finance, or related field (bachelor’s degree a plus). • Possess 3–5 years of hands‑on full‑cycle payroll experience in a mid‑size, multi‑state organization. • Have 2–3 years of experience using ADP Workforce Now (strongly desired).
