About the Role

The Assistant Property Manager position is a fixed‑term, part‑time role (3 days per week for 6 months) supporting two premier Melbourne CBD properties. The role involves delivering exceptional customer service and managing day‑to‑day commercial operations while working closely with the General Manager, Engineering Manager and Finance Manager in a collaborative team. • Serve as primary point of contact for tenant enquiries across both properties. • Support tenant communication via building portals and email notices. • Coordinate tenant events and community engagement activities. • Conduct regular tenant check‑ins and assist with customer retention plans. • Support annual customer survey delivery and action‑plan implementation. • Assist with lease administration, rent roll management and invoice verification. • Support monthly debt management and licence agreement coordination. • Help prepare quarterly reports and budget variance analysis. • Collaborate on tenant service requests and capital expenditure tracking. • Process and verify supplier invoices for accuracy and authorization. • Maintain vendor records and perform three‑way matching. • Assist with month‑end accruals and expense allocations. • Support budget monitoring activities. • Maintain accurate records in property management systems (MRI, Prism). • Assist with tender processes and contractor coordination. • Support compliance documentation and prepare meeting materials.

What You Bring

• 2–3 years experience in commercial, industrial, or retail property management. • Hold (or be willing to obtain) Victorian Agents Representative Licence. • Proficient in MS Word, Excel, Outlook and property management system (MRI preferred). • Excellent written and verbal communication skills. • Strong attention to detail and accuracy in financial processing. • Customer‑service mindset with exceptional interpersonal skills. • Tertiary qualification in business, property or related discipline. • Understanding of Melbourne commercial property market and lease structures. • Experience with accounts payable processes. • Ability to prioritize work and manage multiple tasks across properties. • Strong organisational abilities and proactive problem‑solving approach. • Collaborative team player adaptable to changing priorities. • Professional presentation and stakeholder engagement abilities.
