About the Role

The incumbent coordinates office activities such as scheduling appointments with vendors, board members and residents, delegating work orders, providing information to callers, taking meeting minutes, and delivering general administrative support. The role demands outstanding organizational and follow‑up skills, extreme attention to detail, and excellent written and verbal communication. • Take and transcribe notes from voice recordings to draft and distribute Board meeting minutes. • Establish, maintain, and revise the filing system as needed. • Screen telephone calls and visitors, directing them appropriately. • Manage an average of 700 calls per month. • Perform a wide range of administrative tasks, exercising initiative and independent judgment. • Maintain the Property Manager’s calendar, arranging meetings, conferences, and appointments. • Create and close work order requests. • Follow up on vendor and maintenance work orders to track status and completion dates. • Present information and respond to questions from Board members, residents, vendors, and the Property Manager. • Solve practical problems and handle situations with limited standardization. • Serve as liaison between vendors, residents, and Board members, demonstrating strong time‑management. • Resolve and follow up on complaints, manage lease applications, extensions, and input new resident information. • Research and abstract association documents.

What You Bring

This full‑time position offers a pay scale up to $26 DOE, requires prior administrative experience (project management experience is a plus), and applicants must reside within 30 minutes of the Boynton Beach area. • Demonstrate outstanding organization, follow‑up, and attention to detail with excellent written and verbal communication.
