About the Role

The position offers high‑level document‑management support, ensuring compliance with regulatory guidance for records management, document control, and related business processes. The incumbent will pre‑process and review documents for compliance, maintain electronic indexes of site‑specific documents, convert files to required formats, merge or modify documents, and distribute them according to established lists. Additional duties include assisting users with information retrieval, safeguarding controlled data, notifying impacted organizations of updates or review deadlines, and performing other tasks appropriate to the functional level. • Expand knowledge of common document‑management practices and procedures. • Adhere strictly to state and federal utility regulations. • Review incoming documents to identify applicable procedures and guidelines. • Apply governing procedures to complete proper document processing. • Enter data from various source documents into the repository. • Assign document numbers and maintain work‑tracking database. • Distribute documents to users based on priorities, effective dates, and distribution lists. • Update document attributes in the repository when information changes. • Use performance tools to ensure task accuracy and completeness. • Process proprietary, confidential, or copyrighted information per policy. • Compile vendor data to create installation and maintenance manuals. • Comply with regulations protecting classified document types (e.g., Safeguards Information). • Generate standard reports and create ad‑hoc reports by adjusting parameters. • Create project documents following applicable policies and procedures. • Respond to information requests from internal and external sources. • Provide first‑line customer support via email, phone, and in‑person assistance. • Contribute to formulating document‑processing instructions. • Assess internal compliance with procedures and evaluate implementation effectiveness. • Maintain recipient lists and issue manual/electronic notifications per procedures. • Perform document distribution according to established lists. • Maintain document libraries and key working files critical to plant operations. • Administer industry vendor equipment technical information requirements as assigned. • Conduct ongoing business‑process reviews to identify improvements or cost reductions. • Provide input to keep internal procedures and guidelines current. • Maintain configuration‑control database for plant design. • Lead and train other staff when assigned. • Expand knowledge and skills in basic and related practices. • Serve as a technical resource for peers. • Communicate effectively with external organizations and vendors. • Solve moderately complex problems, seeking guidance when needed. • Complete assignments independently with minimal supervision. • Manage time to meet objectives and understand impact on related functions. • Coordinate or lead activities of others without formal supervisory authority.
