About the Role
We have an exceptional opportunity for an Invoice Specialist I in our Charlotte, NC office. In this role you will prepare, review, and process client invoices in accordance with contract terms and project milestones, requiring a strong understanding of project accounting systems, attention to detail, and effective communication with project managers and finance staff to ensure accurate and timely billing. The position involves responsibilities across invoicing and billing operations, system and process management, project accounting support, and compliance and reporting. You will generate invoices, verify time and expense entries, track invoice status, utilize ERP systems, collaborate with project managers, and prepare billing reports while ensuring adherence to contracts and regulatory requirements. • Generate and process client invoices per contract terms, billing schedules, and project progress. • Review time and expense entries for accuracy before billing. • Ensure proper revenue recognition and alignment with project accounting standards. • Track invoice status and follow up on outstanding or disputed items. • Utilize ERP systems to manage invoicing workflows and maintain billing records. • Assist with system upgrades, testing, and process improvements related to invoicing. • Collaborate with project managers to confirm billing milestones, budgets, and client requirements. • Ensure invoices contain correct project codes, phases, and billing rates. • Support cost‑to‑complete and WIP reporting with accurate billing data. • Ensure invoices comply with contracts, internal policies, and regulatory requirements. • Prepare billing reports and summaries for internal review. • Assist with audit requests and related documentation.

What You Bring
Required knowledge includes billing processes, project accounting principles, ERP proficiency, and advanced Excel skills. Candidates must demonstrate excellent attention to detail, strong communication, organizational abilities, and the capacity to manage multiple priorities and meet deadlines. Qualifications include an associate degree or equivalent experience in billing or accounting, with experience in project‑based billing for professional services firms such as engineering, architecture, or consulting preferred. Flexibility to work overtime as needed is also required. • Strong understanding of billing processes and project accounting principles. • Proficiency in ERP systems and Microsoft Excel. • Excellent attention to detail and organizational skills. • Strong communication and cross‑functional collaboration abilities. • Ability to manage multiple priorities and meet deadlines. • Associate degree or equivalent experience in billing or accounting. • Experience in project‑based billing for engineering, architecture, or consulting firms preferred.
