About the Role

The assistant will handle clerical tasks, operate basic office equipment, manage incoming calls, and maintain both paper and electronic records. They will prepare materials for design and construction meetings, record meeting minutes, and support the superintendent with equipment inventory and craft worker timecards. Additional duties include scheduling truck maintenance, providing directions for visitors and deliveries, and logging craft applicants. • Perform clerical duties and operate office equipment. • Answer, route, and take messages for incoming calls. • File, maintain, and create electronic records; log deliveries in the database. • Prepare outbound deliveries and materials for design and construction meetings. • Record and update minutes for site meetings. • Procure consumable materials and office supplies. • Assist Superintendent with equipment inventory tracking. • Enter craft worker timecards for the Superintendent. • Provide general support to the project team for day‑to‑day tasks. • Schedule, track, and log repairs and maintenance for work trucks. • Provide maps and directions to visitors, subcontractors, deliveries, and new employees. • Log craft applicants into the Applicant Tracking Spreadsheet.

What You Bring

The role requires flexibility, resourcefulness, professionalism, and the ability to work independently with minimal supervision. Candidates should have an associate’s degree in business or a related field and at least three years of administrative experience supporting large teams. The position offers a base salary ranging from $51,000 to $68,900, with higher ranges in select locations.
