About the Role
The Administrative Assistant provides general administrative support to the mall management team, serving the public, merchants, tenants, facilities technicians, and third‑party contractors such as housekeeping and security. The position involves handling day‑to‑day office tasks, acting as the first point of contact for inquiries and complaints, preparing reports and communications, and assisting with property events and cross‑departmental projects. • Perform daily office tasks such as file organization, mail distribution, supply purchasing, answering phones, and greeting guests. • Serve as the first point of contact for customers, vendors, merchants, and tenants, handling inquiries and complaints with high-level service. • Create and maintain spreadsheet tracker reports and manage confidential business information. • Schedule meetings, conference calls, and appointments, including coordination of food and handouts. • Assist in planning and executing property activities and events. • Draft, edit, and distribute mass communications to retailers as directed. • Provide administrative support to Mall Management and other departments (Accounting, Specialty Leasing, Marketing). • Establish and maintain effective business relationships with internal and external stakeholders. • Coordinate repair and maintenance services with in-house technicians and third‑party vendors. • Collect and manage current Certificates of Insurance for tenants and vendors. • Operate and troubleshoot localized computer software and hardware for the management office.

What You Bring
Candidates must have a high school diploma or GED, at least two years of administrative support experience, and proficiency with Microsoft Office, especially Outlook. Strong organization, business writing, verbal communication, and a self‑starting attitude are essential. The role requires regular sitting, standing, walking, and occasional lifting of up to 50 pounds, as well as the ability to see clearly at various distances and work in a moderate‑noise environment.
