About the Role
The role provides diverse administrative support to the NYSDOT Project Manager and Operations Manager, handling record‑keeping, correspondence, and general office duties while utilizing various software tools and preparing reports and graphics as needed. The assistant will also support 24/7 traffic operations and coordinate meetings and inventories. • Assist NYSDOT Project Manager with JTMC contracts, annual budgets, and financial record‑keeping. • Support Operations Manager with phone handling, visitor reception, filing, and general office duties. • Perform administrative tasks for 24/7 JTMC traffic operations and manage contract‑related correspondence. • Use Excel, Word, graphics, and email to complete assignments as directed by the JTMC Manager. • Draft memoranda, engineering‑style reports, and graphics based on project needs. • Review outgoing correspondence for grammar, clarity, factual accuracy, and policy compliance. • Answer calls, provide policy information, and route inquiries to appropriate staff. • Manage office consumable inventory and maintain supply levels. • Coordinate calendars, conference‑room scheduling, and multi‑agency facility bookings. • Take and distribute meeting minutes and set appointment invitations. • Organize files, control paperwork flow, and suggest or implement office procedure improvements.

What You Bring
Candidates must hold an associate degree, have up to two years of full‑time administrative experience, be familiar with business office procedures, and demonstrate ethical decision‑making; a criminal background check is required. • Associate degree required. • 0–2 years full‑time administrative experience with business office procedures. • Ability to make responsible, ethical decisions regarding company resources and follow WSP Code of Conduct. • Pass NYSP Criminal History Background Check.
