About the Role
The Administrative Assistant – Vehicle Fleet Management provides essential administrative and operational support to the Fleet Manager and the broader fleet operations team. The role coordinates documentation, data entry, scheduling, and communication related to company vehicles. Its purpose is to ensure safe, compliant, and cost‑effective fleet operations. Key duties include maintaining and updating fleet asset records, tracking and scheduling routine and corrective maintenance, and monitoring compliance with registrations, inspections, emissions, insurance, and safety documentation. The assistant also supports driver onboarding and off‑boarding, processes fleet‑related invoices and expense reports, and administers fuel cards. Additional responsibilities involve compiling data for fleet reporting, responding to inquiries from drivers and vendors, and maintaining organized digital and physical filing systems. The role aids in accident and incident reporting, supports telematics or GPS system implementation, prepares correspondence and reports, and handles general administrative tasks such as meeting scheduling and calendar support. • Maintain and update fleet asset records in the management system. • Schedule and coordinate routine and corrective vehicle maintenance, inspections, and repairs. • Ensure compliance with registrations, inspections, emissions, insurance, and safety documentation. • Assist with driver onboarding and off‑boarding for vehicle assignments, keys, fuel cards, and telematics devices. • Process and reconcile fleet invoices, purchase orders, and expense reports. • Administer fuel cards, including issuance, cancellations, PIN management, and usage audits. • Compile data for fleet reporting on utilization, downtime, costs, fuel consumption, and safety metrics. • Respond to driver, supervisor, and vendor inquiries regarding vehicles and related processes. • Maintain organized digital and physical filing systems for fleet documentation. • Support accident and incident reporting and coordinate with risk and insurance teams. • Assist with telematics or GPS system implementation, data accuracy checks, and basic troubleshooting. • Prepare correspondence, forms, presentations, and reports for fleet leadership. • Perform general administrative duties such as meeting scheduling, calendar support, and note‑taking.

What You Bring
Candidates must have a high school diploma or equivalent and at least two years of administrative experience in an office, operations, logistics, or a related setting. Proficiency with the Microsoft Office Suite and experience managing data in spreadsheets or databases are required, as are strong attention to detail, effective written and verbal communication, and the ability to prioritize tasks with limited supervision. Preferred qualifications include experience supporting vehicle fleets, familiarity with maintenance tracking or telematics systems, and a basic understanding of vehicle documentation. Demonstrated reliability, professionalism, a customer‑service orientation, and the ability to work collaboratively with field staff and support departments are essential competencies.
